For accountants and CPAs: when a client's records may be worth something

Short answer

When a client closes, sells or asks what they can shred, you're often the first to hear. Once retention periods are covered, the client's working archive (quotes, orders, project and job files) may be worth licensing to AI developers. A free fit check costs the client nothing. I pay no referral fees, so your advice stays independent.

When it comes up

You're often the first adviser to hear about it:

What you already handle

Retention: what has to be kept, and for how long. See How long to keep business records for the federal periods with sources.

What often gets missed

Most of a firm's records aren't covered by any retention rule: years of quotes, orders, work orders, drawings and project files. They usually get destroyed. But AI developers now license this kind of working archive from owner-led firms, including closed ones.

How to mention it

A sentence is enough: "Before you destroy the old files, it may be worth checking whether they're worth licensing." The client can then ask for a free fit check. Nothing is shared without their written OK, and I never need files to tell them whether buyers look for what they have.

Quick questions

Do you pay referral fees to accountants?

No. That keeps your advice independent and avoids questions under professional rules on referral fees and commissions. Owners pay no fees either; only the buyer or broker pays a finder's fee, if a deal closes.

Which clients are a likely fit?

Owner-led US business-to-business firms with many years of digital working records: freight and logistics, distribution, contractors, engineering and architecture, manufacturing.

Do I need to share client information with you?

No. The client can contact me directly, or you can describe the situation without names. I never need files for a fit check.

Want an honest read on your own records?

Describe what you have in a few lines. I'll tell you whether buyers look for it. No files needed.
